Portal Permissions: Why They Matter More Than Ever 

Making sure your Portal users have the right access is now more important than ever. 

Who Can Manage Permissions? 

Only Admin users can: 

  • Add new users 

  • Update existing permissions 

  • Grant Admin access to others in a group or retailer 

While a retailer can have multiple Admins, every business needs at least one. Now is a great time to review your portal users and check that all permissions are set up correctly. 

Accessing Lead Information in Portal 

We’ve recently changed the way lead notification emails work. Lead emails from Autotrader no longer include consumer contact details or message content. Instead, you can view enquiry details securely in Portal by clicking “View your lead” in the email or through a third-party system using our API.  

Why the Change? 

Previously, these emails contained personally identifiable information (PII). Sharing PII over email increases the risk of misuse and data breaches. This update is a proactive step to protect consumer data and reduce risk for both Autotrader and our retailer partners. 

What This Means for You 

This could mean your sales process will involve an extra step for you or your team. We’ve made it as straightforward as possible to access the relevant information for these leads in a secure way in Portal. 

  • Make sure all team members are set up as Portal users with “Customer Base Access” under the “Customer” category permission enabled.  

  • Once logged in, all lead information, included message content and customer details can be accessed via the Sales Hub.
